We have broken up different stages of the process to clearly explain when, how and why we keep data.
Sales
Data retained- Names , contact details and search requirements-
Legal basis- Legitimate interest in providing property details as requested by the buyer and fulfilling our contract with our vendors.
Shared with- Data shared with software provider 10ninety Ltd, staff and vendors.
Duration- Buyers data kept for upto 12 months-to be able to keep buyers informed of new properties that become available.
Withdrawn immediately buyers no longer wish to be kept upto date (unless you have viewed a property).
If you have viewed a property, we will retain your information for 6 months from the date of the viewing. This is to provide our vendor with details of historic viewings and alert you to any material changes to the property that you have viewed.
Use of data- We will use your data only to keep you informed of suitable properties for sale and inform our vendors of your situation.
Vendor Valuation requests-
Data retained- Names , contact details of vendor and property details.
Legal basis-Contractual (request to value-prior to entering into a contract to sell).
Shared with-Data shared with software provider 10ninety Ltd, staff. If you have requested an instant online valuation or used our online valuation booking system, your data will also be shared with our third party software provider One Dome.
Duration- Retained for 24 months unless you ask us to remove the data. Data is retained for 24 months as you may wish to instruct us at a later date.
Use of data-We will use your data to provide you with a valuation and details of our selling services
At the time of the valuation, you can also choose to opt in to be kept informed of any future selling service offers.
You may withdraw this consent at any time.
Contract to Sell (vendors)
Data retained- Names , contact details of vendor, property details, copies of id and proof of address.
Legal basis-Contractual and legal requirement (anti money laundering requirements).
Shared with-software provider 10ninety Ltd, staff, buyers, Creditsafe and related parties involved in any chain.
Duration- 6 Years from sale or ending of the contract (whichever is the later).
Use of data-Your data is retained to aid in the marketing and selling of your property and complying with HMRC anti money laundering regulations.
Sale agreed (buyers)
Data retained- As per buyers registration plus ID and proof of address, solicitors details, Mortgage details, chain details of related sale.
Legal basis-Contractual and legal requirement (anti money laundering requirements).
Shared with-Staff, software provider 10ninety Ltd, buyers, Creditsafe and related parties involved in any chain.
Duration- 6 Years from sale or ending of the contract (whichever is the later).
Use of data-Your data is used to fulfil our contract with our vendor and aid their sale, comply with TPO rules and comply with HMRC anti money laundering regulations.
Referrals
You may also request that we refer your details to our partners which include Mortgages, Conveyancing and surveyors services. At that time, we will pass contact details onto them, along with details of your purchase/sale.
These providers will have their own privacy rules and should provide a copy to you.
We will never pass on your details without your specific request to do so.
Lettings
Tenant Registration
Data retained- Names , contact details, employment details, credit history and property requirements.
Legal basis-Legitimate interest in providing property details as requested by the tenant and fulfilling our contract with our Landlords.
Shared with-Data shared with software provider 10ninety Ltd, staff and Landlords.
Duration- Tenants data kept for upto 6 months-to be able to keep you informed of new properties that become available. You may ask us to remove your data immediately if you inform us you no longer wish to be kept upto date.
Use of data- We will use your data only to keep you informed of suitable properties for rent and inform our Landlords of your situation should you wish to view.
Landlord Valuation requests-
Data retained- Names , contact details of Landlord and property details.
Legal basis-Contractual (request to value-prior to entering into a contract to Let).
Shared with-Data shared with software provider 10ninety Ltd, staff. If you have requested an instant online valuation or used our online valuation booking system, your data will also be shared with our third party software provider One Dome.

Contract to Let (Landlords)
Data retained- Date from registration plus details of insurance, utilities, next of kin, bank account details and other property related information.
Legal basis-Contractual fulfilment, legal requirement (Property redress scheme) and legitimate interest in responding to any complaints or defending legal action.
Shared with-Staff, software provider 10ninety Ltd, tenants and utility companies.
Duration- 7 Years from instruction to market or ending of the contract (whichever is the later).
Use of data-Your data is retained to aid in the marketing and managing of your property and complying with The Property Redress Scheme rules.
Let agreed (Tenants)
Data retained- As per Tenants registration plus IID, proof of address, Right to rent documentation, 3 years address history, National Insurance numbers, Employment details, details of loans/credit, any adverse credit, current/previous letting details, bank details, next of kin, credit reference checks and other information that aids the qualification process (references), rental records, tenancy related documents and performance of the tenancy.
Legal basis-Contractual and legal requirement (Right to Rent requirements), legitimate interest in responding to any complaints or defending legal action..
Shared with-Staff, software provider 10ninety Ltd, Landlords, Creditsafe, Management companies , third party contractors, utility companies and third parties requesting a reference (where you have given authority to release such).
Duration- 7 Years from sale or ending of the contract (whichever is the later).
Use of data-Your data is used to fulfil our contract with our Landlord in the letting and managing of the property, comply with The Property Redress Scheme rules, comply with government Right to Rent regulations, supply references and respond to complaints or legal action.
Who else has access to information?
We will never sell or rent your information to third parties.
We may disclose your personal information to our insurers and professional advisers insofar as reasonably necessary for the purposes of obtaining and maintaining insurance coverage, managing risks, obtaining professional advice and managing legal disputes.
